Q: How do I get to conference venue from the hotel or Residence Hall?
A: See the map at right. The Sadler Center is indicated by the dark blue pin just south of the stadium. It is an easy walk to the center from the Hospitality House (pink pin), Residence Halls (cyan pins) or Physics building (purple pin).

Q: How do I get a William & Mary campus map?
A: A local area map will be distributed with the conference materials you receive during registration. For a campus map is also available online.

Q: Where can I park on the William & Mary campus? Is there a charge for parking?
A: Attendees can park in any day or resident student space. There is no charge for parking, but you must have a conference parking pass.

Registration

Q: When can I register during the conference?
A: Sunday, July 13 17:00–19:00 in the Chesapeake room on the 3rd floor of the Sadler Center. After that, you can register at the registration and information desk in the Sadler Center lobby. It will be open 08:00–12:30 Monday through Friday and 08:00–11:30 on Saturday.

Lodging

Q: Where and when can I check in at the Residence Hall?
A: Check-in hours are between 15:00 and 19:00 in the Conference Services duty office (Lodge 6, yellow pin on the map above). Keys and cards will also be available in the Chesapeake Room at the Sadler center during the reception.

Q: How do I check-in at the Residence Hall if I arrive late due to my flight schedule?
A: If you arrive after 19:00, you can call the main office at (757) 221-4084 until 24:00, and a staff member can meet you to give you the key or card you need to access your room.

Q: What happens if my flight is delayed, and I cannot make it to the Residence Hall before midnight?
A: There will be two students on duty Sunday night. Please call the main office at (757) 221-4084 when you arrive at the airport to discuss places to meet on campus.

Q: Is parking available for people staying in the Residence Hall?
A: Attendees can park in any day or resident student space. There is no charge for parking, but you must have a conference parking pass.

Q: What are the earliest and latest possible check-in dates for the Residence Hall?
A: We cannot accommodate requests to arrive any earlier than July 13 nor to stay longer than the night of July 19.

Dining

Q: Where is the reception?
A: At the Sadler Center with the registration area.

Q: Will meals provided during the conference?
A: The conference will provide a continental breakfast each morning, as well as coffee breaks during the day. Lunch will not be provided daily, but on Thursday July 17, because of the excursion, boxed lunches will be provided. On the other days, there will be ample time provided to obtain lunch at one of the many nearby restaurants and eating establishments.

Q: Where do I find restaurants for lunch or dinner?
A: There are many restaurants within walking distance of the conference center. More information is available in the Local Guide.

Q: Where can I go for a drink after dinner?
A: This information is also in the Local Guide.

Q: How am I supposed to get lunch without missing the bus for the excursions?
A: Boxed lunches will be provided before the departure of the buses at 12:30.

Q: Where is the banquet?
A: In the Chesapeake Room at the Sadler Center.

Computing

Q: Will there be internet access on conference site?
A: There is wireless access available throughout the entire William & Mary campus. The SSID is W-M_Wireless (not W-M_Wireless_Encrypted). Once connected, open a browser, and you should be redirected to a login page. Click on Login as Guest near the bottom of the screen. Ignore what the next screen says and click on Proceed to login as Guest. Enter your name, reason for visit (Lattice Conference), and use the following access code: Lattice08.

Q: Will I be able to use a terminal on site during the conference?
A: Computers are located at a few locations on campus, including Swem Library, the Physics Department and Small Hall. Feel free to use these during the conference. To access the Internet, use the following (case sensitive) information to authenticate (in this case, you dont log in as guest):

Q: Is printing available?
A: Sorry, no printers are available.

Presentations

Q: Where will I give my presentation?
A: The plenary sessions will all be held in the Commonwealth Auditorium in the Sadler Center. The parallel sessions will be held in the Auditorium, as well as the Chesapeake Rooms (A, B and C) and the Tidewater Rooms (A and B). Check the parallel schedule or list of abstracts to find the location of a specific talk. The poster sessions will be in a combined Tidewater Room.

Q: Do I need to bring my own laptop to give my parallel talk?
A: No, laptops and projectors will be provided for all lectures. Please transfer your talk to the appropriate computer in the room in which you are assigned to speak before the session begins.

Q: Can I give a presentation in PowerPoint?
A: The preferred format is PDF, but PowerPoint is acceptable if you embed your images and fonts into the document. If you need to use animations or other complicated functions, you may use your own laptop for your presentation.

Q: Can I give my presentation a retro look by using transparencies?
A: Yes, but please notify the organizers a couple days in advance to make sure the projectors will be ready for your section.

Q: How big can I make my poster?
A: Each poster is allotted a square space with dimensions 1.2 m × 1.2 m (4 ft × 4 ft).

Q: How early can I put up my poster? How long can I leave it up?
A: Since we are using the Tidewater Room for both poster and parallel sessions, the posters can only be put up during Tuesday afternoon and must be taken down before Wednesday morning.

Q: How would I know if the program changes at the last minute?
A: Please check the poster board outside the Auditorium for any program changes that may occur during the conference.

Other

Q: If I travel with my family, what can they do during the day while I am in the conference?
A: A packet with local information will be given with the conference package.

Q: Will there be women's sizes for the T-shirt?
A: Yes, but only for those who pre-order. The deadline was June 20, 2008: T-Shirt Pre-Order

Q: The T-shirts look great, but I didn't pre-order; can I buy one at the conference?
A: Yes. Conference T-shirt sales will begin at the break before Tuesday's poster section. There will be two times each day to buy T-shirts at the reciption desk for Wednesday, Friday, and possibly Sat, if there are any left. Only M, L and XL sizes will be available.
