Registration and Processing
All employees, non-US citizen users, and visitors at Jefferson Lab are required to register with the JLab Registration/International Services Office upon arrival. The office is located in the VARC, Building 28, and is open Monday through Friday, 8:00am until 5:00pm.
This online registration process provides all information required by the Lab for site and building access, training, badging, computing, and medical insurance.
Jefferson Lab is now subject to the Department of Energy's Order on Unclassified Foreign Visits (on-site less than 30 days) and Assignments (on-site more than 30 days). This order requires the Lab to collect more information concerning nationality and visa status than has been our practice in the past. In order to comply with the Interim Guidance for Implementation of the Department of Energy's Order, the Lab must collect and enter the data into the Foreign Access Central Tracking System (FACTS) within certain timeframes to grant on-site access approval at the Lab for each visit and assignment by non-U.S. citizens.
Information on passport, visa, and other immigration issues to verify identity, authority to work, and eligibility for being in the United States is updated and entered into the FACTS database for all current SURA/Jefferson Lab user badge holders who are not U.S. citizens. The same information will also be collected for all new individuals prior to the issuance of an on-site access badge.
Visa and immigration information must be submitted to the JLab Registration/International Services Office (VARC, Building 28) for each visit and assignment to the Lab to establish on-site access approval status. Upon completion and departure of a current visit or assignment, on-site access approval status is closed out and badges are disabled until the next on-site visit or assignment.
The JLab Registration/International Services Office should be notified at least 48 hours in advance (jris@jlab.org) of arrival for all visits and assignments in order to collect the proper documentation, check training status, and submit all information necessary to establish an on-site approval status for badge activation prior to start of each new on-site visit and assignment. If the 48 hour advance notice is not received, it may take up to 24 hours or more to establish on-site approval access status for badge activation after arrival.
We regret any inconvenience this process may cause and hope you understand our position in these times of heightened security. Please contact Sue Ewing (757) 269-7687 regarding any questions or concerns.
Any visitor on-site for more than 30 days must register as a User.
