Dear Colleagues,
Below is the working agenda for the upcoming annual meeting of user facility administrators, which is being hosted this year by the Advanced Photon Source. Our major meeting topic will be user statistics/user surveys. We値l look at how statistics are collected and calculated at each of our facilities, what types of surveys are conducted, how the results are used, and how the DOE uses the information we collect and report. Bob Astheimer from the DOE Office of Basic Energy Sciences, will be with us to explain both how the DOE/BES Scientific User Facilities reporting requirements were developed and how the DOE uses the information we provide throughout the year. However, since we have a number of new people who will be attending this meeting, I thought it might be useful to begin our meeting with a session in which we review user administration and support functions at each of our facilities. Not only will this provide some insights for our new colleagues, but it should also set the stage for one-on-one and roundtable discussions of topics that are of particular interest to individual facilities. Logistics: We値l be meeting in Room A5000 (5th floor conference room), Building 401, which is the APS central laboratory office (CLO) building. The CLO is located approximately 1/3 mile (an easy walk) from the Argonne Guest House, which has set aside a block of rooms for our group at the special user rate of $52.50/night plus tax. You can make your reservations on-line at http://www.aps.anl.gov/travel/anlghhome.html or you can call the Guest House at (800) 632-8990. When you make your reservations, tell them you are with the User Administrators group. To help you make your travel plans, the following website contains ravel information, directions, and maps: http://www.aps.anl.gov/xfd/communicator/useroffice/travel.html. As you know, Argonne is a controlled-access facility. If you arrive before 5:00 p.m., you値l need to stop at the Argonne Information Center, just outside our main gate off of Cass Avenue, to pick up a gate pass. If you arrive after 5:00, your name will be on an access list at the Main Gate guard post. The Guest House now serves food seven days/week, so you値l be able to have dinner there on Wednesday night if you choose. Or, if you have a car and would like to go off-site, let me know and we can give you lots of suggestions and directions. (The web site listed above also has a listing of local restaurants with telephone numbers.) Let痴 begin our meeting at 8:30 a.m. on Thursday. Feel free to have breakfast in advance, but I致e managed to convince our Division Director that we need money for Krispy Kreme donuts, and of course, we値l have coffee and tea available throughout our meeting. With luck, I値l be able to find a way to furnish lunch for us on Thursday. And, for those of you who are interested, I can arrange a no-host dinner for Thursday night at one of our interesting local restaurants. Let me know if you池e interested. 8:30 am Welcome from Laboratory management *If we have attendees from Jeff Lab, IPNS, and ESRF, we値l, of course, include those overviews. I壇 suggest that each talk be no more than15 minutes. If more than one of you is coming from a facility, decide between you who値l do the presentation. Please include an organization chart, so we値l know where the user administration/support functions fit, a brief description of your facility and what it does, a list and brief description of the user administration/support functions that your institution provides, and a summary of who is responsible for providing these functions. I know that each of the four synchrotron facilities collects its information for DOE/BES scientific user facility reporting in a somewhat different fashion; I壇 like to understand how each method works.
