211.02 Reference Inquiries

  1. POLICY

    All personal, telephone, and written inquiries from outside sources regarding employment or personal references concerning current or former employees shall be handled initially by Human Resources. This is to ensure a consistent method of answering such inquiries and protect the interests of the individual and JSA.

  2. NORMAL PROCEDURES

    All reference inquiries, personal or employment, shall be submitted to Human Resources. A Human Resources representative shall, unless circumstances described in 4. below dictate otherwise, release only the following information on present and former employees:

    1. Confirmation of their employment;
    2. The beginning and ending dates of their employment; and
    3. The last position held prior to termination.
    4. No additional qualitative information shall be released, absent a compelling legal reason where failure to disclose information may pose a danger to a potential employer or others. The HR&S Director and Legal Counsel shall approve such disclosure(s).
  3. INQUIRIES ON CURRENT EMPLOYEES
    1. Telephone inquiries for directory information and confirmation of employment are honored routinely by Human Resources.
    2. Any other requests for information on current employees must be specific, written requests containing a signed authorization by the employee in question for JSA to provide the requested data.
    3. JSA does not release information on employee salaries. Human Resources will confirm salaries provided by employees to inquirers, but it will not give out the salaries, even in response to written requests.
  4. ADDITIONAL INFORMATION ON FORMER EMPLOYEES

    Personnel will provide additional information on former employees only if they have authorized JSA to do so in writing. The Authorization to Provide Reference Information form (Exhibit 211.02-1), or a specific written request, must be completed by the separated employee before Human Resources will provide any information beyond that listed in paragraph B., above.
