Records and Information Management Month Fact of the Week
When managing email, keep personal and official emails separated by creating folders and further separating by type or series. Email should be retained according to applicable records schedules and should be periodically purged when messages meet their required retention. Email may be "correspondence" in specific records schedules, but might also be considered transmittals for attachments. Of interest may be DOE Administrative Records Schedule #23 - Records Common to Most Offices. According to this schedule, #7 - Transitory Files are records of short-term interest (180 days or less), including in electronic form (e.g., email messages), which have minimal or no documentary or evidential value. The retention for these records is "Destroy immediately, or when no longer needed for reference, or under a predetermined schedule or business rule." RIM Trivia Question of the Week
Knowledge of records management can save Brad Pitt! In this film, Robert Redford uses information systems, maps, press leaks, knowledge of records management, and amazing chutzpah to save Brad Pitt. JSA Minority/Female Undergraduate Research Assistantship
Jefferson Lab is seeking candidates for a Research Assistantship. JSA will provide funds to support a junior or senior level student at the university during the 2015-2016 academic year. In recent years, students have used the funds to aid the exploration of 3D printed scintillator detectors for the study of field emission in accelerating cavities, as well as a presentation at the SESAPS conference on work done on the PrimEx-II Collaboration. Center for Theoretical and Computational Physics

Earlier work on dispersive analysis of the ρ and σ meson Regge trajectories is extended to tensor mesons. The researchers found that the trajectories of both the f2(1270) and the f2(1525) are almost real and linear, with slopes in agreement with the universal value of order 1 GeV-2, confirming a quark model interpretation.

Facilities Management and Logistics

The Technology and Engineering Development Building main entrance will be closed for approximately three days for cleaning and sealing the masonry brick walls at the exterior display case. A subcontractor will be cleaning the masonry brick with a pressure washer. To avoid over-spray on personnel, the TED Building entrance will be blocked during the work activities. Inside the TED Building, temporary signs will be placed for re-routing egress paths. The work is scheduled to take place the week of April 20. Work activities are weather dependent and may shift later due to schedule impacts. Building Managers will be notified of exact dates. Computing and Networking Infrastructure

IT Maintenance Period Set for Tuesday, April 21, 5-10 p.m.
The CNI group is planning a maintenance period on Tuesday, April 21, 5-7 p.m. During this time, there will be a series of short outages to all Management and Information Systems (MIS) applications while the underlying servers are patched and rebooted. Additionally, updates will be released to Core CUE applications, such as Firefox/Thunderbirg, Adobe Flash, etc. Linux and Windows patches will also be released to all desktops and servers. Plan on rebooting your desktops no later than Friday in order to complete the patch installations. If you have any questions or concerns with this maintenance period, contact the IT Division Helpdesk, x7155.

National Take Our Daughters and Sons to Work Day is Thursday, April 23
The nationwide Take Our Daughters and Sons to Work Day will be on Thursday, April 23. Jefferson Lab has no formal plans for the day. However, Jefferson Lab parents/grandparents are welcome to bring their school-age children/grandkids, ages 8-18, to work for all or any part of the day. If you wish to participate, view the All-Staff memo for rules regarding children on-site and for some useful information about the day.

Reminder: Annual Property Training & Validations Must be Completed By April 24
April 24 is the deadline for all Jefferson Lab Property Custodians to complete their annual Property Refresher training and to conduct and complete their annual Property and Key validations. All Property Custodians have just one week left to complete these requirements. For more information and links to the applications, see the All-Staff memo. Facilities Management and Logistics staff will conduct a property and key inventory following the validation period.

Name Change for Travel Agency
The Jefferson Lab subcontract travel agency has purchased an agency on the west coast. Starting immediately, Travel Itineraries will bear the logo and name "CI Azumano Travel" instead of CI Travel. The after-hours telephone number will remain the same, 888-461-0022, and will continue to appear on all itineraries. Access to the online booking tool (Concur) will not change, and the in-house agent will continue to be available in the Support Service Center, room 8. Don’t Throw Excessed Jefferson Lab Property into Trash or Recycling Bins
On March 31, two items of property were found in a recycling bin; neither item should have been put there. This is a reminder that all unused, unneeded or unserviceable property, whether it has a Jefferson Lab property tag or not, must be Excessed through Property Management. TIAA-CREF Individual Counseling Available by Appointment
TIAA-CREF will be offering additional Individual Counseling Sessions in the coming months. The consultant will be available to discuss how to help you achieve your financial goals by investing in financial solutions such as mutual funds, brokerage, life insurance and annuities. Sessions will be offered on June 17, July 22 and 23, August 13, Sept. 17, Oct. 8, Nov. 19 and Dec. 16 in Support Service Center room 41a. Claim Your Items in Jefferson Lab's Lost and Found
The CEBAF Center Reception Desk doubles as the Jefferson Lab Lost and Found collection point. The Lost and Found currently has a dozen pairs of prescription/reading glasses, four pairs of sunglasses and three pairs of safety glasses. In addition, there is a variety of other items. To claim these or other lost items, visit the CEBAF Center Reception Desk, 8 a.m. – 5 p.m., Monday through Friday.
